Refund & cancellation policy
Refund, cancellation, rescheduling, and deposit rules for PineBase consulting engagements.

This policy applies to paid consulting engagements with PineBase Engineering Advisory (advisories, audits, clinics, and paired build weeks). It does not apply to products we do not sell — we do not operate an online checkout or ship physical goods.
1. Eligibility overview
Refunds depend on engagement type, timing relative to kickoff, and whether work has started. Australian Consumer Law rights are not excluded by this policy.
2. Discovery calls
Introductory discovery calls described on the Site are complimentary. No payment means no refund.
3. Deposits and scheduling fees
Fixed-fee advisories and audits typically require a 40% deposit to reserve kickoff dates. Deposits are:
- Fully refundable if you cancel in writing more than 10 business days before kickoff
- 50% refundable if you cancel between 5 and 10 business days before kickoff
- Non-refundable within 5 business days of kickoff, except where PineBase cancels or law requires otherwise
4. Fixed-fee projects (Advisory / Audit)
If PineBase has not started discovery work and you cancel outside the windows above, unused fees already paid (beyond non-refundable deposit portions) are refunded. Once discovery interviews or pipeline walkthroughs have begun, fees for completed stages are earned; remaining prepaid amounts for unfinished stages may be partially refunded at our reasonable discretion based on work completed.
5. Clinics
CI Reliability Clinic fees are refundable in full if cancelled more than 5 business days before the session. Later cancellations may be rescheduled once at no charge or refunded at 50% if we cannot fill the slot.
6. Paired build weeks
Build weeks invoice weekly in arrears for days delivered. Days not yet worked are not charged. Prepaid blocks unused at cancellation are refunded minus days delivered and any non-refundable deposit agreed in the statement of work.
7. Non-refundable items
- Work already performed and accepted stages
- Third-party costs pre-approved by you in writing (for example specialised tooling licenses purchased at your request)
- No-shows for scheduled clinics or readouts without 24 hours’ notice
8. Rescheduling
You may reschedule a kickoff or clinic once without penalty if you give at least 5 business days’ notice. Further reschedules may incur a reasonable administrative fee disclosed before confirmation.
9. Work already started
If an engagement is terminated after start by either party for convenience, you pay for work performed to date at the agreed rates. Deliverables completed to that point remain available under the statement of work license terms.
10. PineBase cancellations
If we cancel due to our inability to staff the engagement, you receive a full refund of amounts paid for undelivered work, or you may choose new dates.
11. Refund process and timing
Email contact@workspace-pinebase.click with your engagement reference and reason. Approved refunds are processed to the original payment method within 10 business days of approval. Bank processing times may add several days.
12. No-shows
If your nominated attendees fail to attend a scheduled clinic or readout without notice, that session is considered delivered for fee purposes. We will offer one courtesy reschedule where reasonable.
13. Exceptions
Nothing in this policy limits non-excludable rights under the Australian Consumer Law. If a service fails to meet a consumer guarantee, remedies may include repair, replacement, or refund as applicable to consulting services.
